Exhibitor Space Application Details

·       You are applying for PROJECTCON Midwest 2020 | October 9, 2020

·       The Exhibitor expo hall is only available for the main conference on October 9, 2020 from 7am-5:30pm. It is not available during pre-conference workshops on October 7-8, 2020. 

·       Applications will be reviewed and given a result within 14 days from submission

·       Spaces will not be selected at the time of purchase, we will contact you closer to the event with further details on space location selection

 

Who Can Apply for an Exhibitor Space

If your product or service is related to business agility, product delivery, or project management consulting, training, software tools, job placement or career development - WONDERFUL!  All others are also welcome to apply also.

 

What Comes with an Exhibitor Space?

Each individual 10FTx10FT space (no matter corner or inline) comes with the following package (if you purchase two spaced you get 10FTx20FT that is TWO 10Ftx10FT spaces so you get TWO packages)

  • One 8’ skirted table (30" wide, 8' Long) 
  • Two Chairs
  • One Wastebasket 
  • Two Exhibitor badges (These are picked up on set up day and are not mailed out, additional badges may be purchased for $80 each on site)
  • Power is NOT included but is available as an add-on purchase for an additional fee
  • Free public WiFi is available through the venue

How Exhibitors Succeed!

  • The value of face-to-face contact with your target audience for an entire day is priceless if you capitalize on this opportunity.
  • Depending on the Exhibitor/Sponsorship options selected, sponsors receive online and print exposure through the ProjectCon® | AgileCon®  website, social media channels, the event mobile app, onsite signage, onsite t-shirts worn by volunteers, onsite event programs ads, mention in press & media releases, and more. 
  • We help drive engagement to your exhibitor booth. All attendees will be given an Expo Bingo Game card. All exhibitors will have their logo placed on a square on the game card. When an attendee visits an exhibitor booth, they receive a game card stamp. When the attendee's game card is completely covered with stamps, they enter it into a drawing to win raffle prizes at the end of the day.
  • Raffle prizes have previously included: Echos, Echo Dots, Apple AirPods, Fire Tablets, Fire Stix, Tablets, Google Home, Alexa, Apple Watch, Travel Bags, Various Gift Cards, Books, Bags, Free and Discounted Training, Courses, Smart TVs, and many more prizes.  All exhibitors are REQUIRED to provide a give-a-way prize for the Expo Bingo Game prize drawing. Prizes will be collected by Conference Fuel staff in the morning of the event. 
  • Prominent Exhibit Hall presence with in-booth product & service demonstrations featuring high quality products, services and plenty of give-a-way items as an incentive for attendees to stop at your booth. 
  • We promote your participation in ProjectCon® | AgileCon® from the moment you sign-up through the day of the event. We leave past event sponsor information on our website throughout the year. 
  • Your marketing and promotion teams engage in programs and online advertising campaigns that speak directly to your involvement ProjectCon® | AgileCon®. Use event hashtags #projectcon #agilecon to boost your companies exposure. 
  • Use the attendee discount code we give you to promote the event. When attendees use your custom discount code, you get cash back on the ticket sale. 

Capturing Attendee Contact Info

  • Mot attendee name badges will include a QR code that exhibitors may request attendee to scan to capture their contact information provided.
  • Exhibitors must provide their own mobile device and scanning app to capture the QR code information.
  • Exhibitors may also provide a receptacle or sign-in sheet for attendees to voluntarily provide contact information.
  • Event Management or Organizers will not provide attendees lists to exhibitors for any reason. 

Exhibitor Booth Space Assignment

  1. All Exhibitor Booth Space are assigned solely by Event Management. While Event Management will attempt to accommodate exhibit space requests, Event Management reserves the right to modify the floor plan to serve the best interests of the Event. Such a modification does not relieve Exhibitor of Agreement liability. Event Management’s decisions about Exhibitor space assignments are final and binding.
  2. The earlier you purchase, the better booth placement you get. 
  3. Booths are generally assigned in the following order: a) Event Official Co-Sponsor Assignment. If there are multiple Event Co-Sponsors, then the Event Co-Sponsors will be placed in priority order based on Agreement and deposit/payment date. If multiple Event Co-Sponsors have the same Agreement and deposit/payment date, then Event Co-Sponsors will be placed in date order the Application was received. Final tiebreaker is alphabetical by Exhibitor company name or most recently used Exhibitor company name, b) After all Event Co-Sponsors have had their Booths assigned, remaining Exhibitors will be placed in order of Sponsorship level ranking from Agreement and deposit/payment date, then by application received date, then alphabetical by Exhibitor company name or most recently used Exhibitor company name., c) Exhibitors that complete an Application and deposit/payment on or before the current year’s posted re-booking deadline for the next Event, will be assigned above other first-time Exhibitors but below all Event Co-Sponsors assignments.
  4. Booths is not allowed to be shared by multiple organizations.

Exhibitor Equipment

  • Audio Visual Needs, Equipment, Promo Items, and Signage are the Responsibility of Exhibitor.

Raffle Prizes

  • All Exhibitors are REQUIRED to provide a raffle prize give-a-way to Event Management with a retail value of greater than or equal to $100 for the attendee PROJECTCON Expo Bingo Game prize drawing.
  • Prizes will be collected by Event Management on the morning of the Event.
  • At registration, all attendees will be given an Expo Bingo Game card. All exhibitors will have their logo placed on a square on the game card.
  • When an attendee visits every exhibitor and get the game card completely covered with stamps, they enter it into a drawing to win raffle prizes at the end of the day. Exhibitors will be recognized as providing their respective prize.

The deadline for artwork submission in order to be included on PRINT items is four weeks prior to the Event date. For DIGITAL, send it to us ASAP to maximize promotion.
