EXHIBITOR SALES REQUIREMENTS

Exhibitor must obtain a Texas sales and use tax permit to engage in business in the state of Texas. The requirement to obtain a Texas sales and use tax permit applies to individuals as well as corporations, firms, partnerships, and all other legal entities. Apply for a sales tax permit using the Texas Online Sales Tax Registration System. An application can also be downloaded from the Tax Forms Online page.Â

Exhibitors can also obtain an application by calling 1-800-252-5555. There is no fee for the Texas Sales and Use tax permit. Exhibitors must obtain a sales and use tax permit prior to the start of the show. Exhibitors should expect to receive the permits 4-6 weeks after submitting the application. Â

 Otherwise, Exhibitor shall attain any licenses, permits, approvals, under federal, state, or local law applicable to its activities at the Event at its sole expense. Exhibitor shall obtain any necessary tax identification numbers and permits and for paying all taxes, license fees, use fees, or other fees, charges, levies, or penalties that become due to any governmental authority in connection with its activities at Space City Comic Con.  Â

Exhibitor agrees that it/he/she shall be exclusively responsible for payment of all federal, state, and local taxes which may be due as a result of its/his/her participation in the Event. Exhibitor agrees that it/he/she has not relied upon any advice from SCCC as to the taxability of any monies associated with participation in this event, and that Exhibitor has the opportunity to consult with its/his/her accountants and/or legal counsel with respect to any such issues.

Please carry with you a copy/scan of Texas Resale Tax certificate if you will be doing business as a vendor of any capacity at the convention.

Cancellation & Refund Policy
To receive a full refund, cancellation notice must be received in writing and confirmed by an authorized SCCC representative before April 1st, 2016. Dealer/Artist will receive a refund of one-half of the deposited amount if cancellation notice is received confirmed after April 1, 2016 and by April 15, 2016. Any cancellations after April 15, 2016 will only be given a refund of one-half of the deposited amount if the space is subsequently rented.  Â
Exhibit space not set up one (1) hour before the opening of the first day of the convention will be released, unless prior arrangements have been made through an authorized representative of SCCC and in writing. Any applicable refunds will be mailed Certified Mail, Return Receipt Requested to the address provided no later than July 1, 2016.

Internet and electrical needs are all purchased from NRG Park. Once we alert you via email, please see the NRG website for electrical request and internet registration.

By purchasing these items (booths, tables, badges), Dealer/Artist acknowledges and affirms that Dealer/Artist has read, understood and agrees to all terms and conditions as stated in this agreement. Dealer/Artist understands that failure to abide by the terms of this agreement may result in the loss of privileges without refund or recourse. Dealer/Artist further acknowledges that Dealer/Artist understands and agrees to any additional rules or official policies stipulated by Space City Comic Con and that such are equally binding as the terms set forth herein. By agreeing to sell or exhibit at Space City Comic Con, Dealer/Artist agrees to protect and hold Space City Comic Con and Mythik Events & Promotions, LLC, as well as all Principals, authorized agents and representatives, forever blameless and without liability for any and all loss, theft, damage, cost, injury, acts of God, terrorism or expense that arises from any and all aspects of exhibiting at Space City Comic Con. This agreement covers setup, duration of the convention, and break down and will terminate at 11:59pm on July 26, 2015. The individual making this purchase affirms and acknowledges that they have the authority to bind Dealer/Artist.

Pirated Item Policy
Pirated copies of copyrighted material are illegal and absolutely prohibited for sale or display at Space City Comic Con. Any Dealer/Artist in possession of pirated or bootleg material shall not bring such materials to the convention. Dealers/Artist with pirated material may be ejected without compensation from the convention, at the sole discretion of an authorized representative of SCCC, security, and management. PLEASE BE ADVISED THAT THE APPROPRIATE LAW ENFORCEMENT AGENCY WILL BE CONTACTED IF PIRATED OR BOOTLEG MATERIALS ARE SUSPECTED.

Convention Host Hotels
For VENDORS, the first hotel we are making arrangements with is the Holiday Inn, Houston Reliant Park Area. It has just gone through a $10 million remodel and it's beautiful inside. Parking is FREE with one spot free per room rented. It's effectively in walking distance and it also has a courtesy van. This hotel may have some of its available rooms rented for the Houston Texans summer training camp, so once our block is posted, we recommend you grab a room from them quickly.

We are also approaching other regional hotels next to NRG Park for vendor convenience. Other hotels will likely include The Crown Plaza, the Wyndham Houston - Medical Center Hotel & Suites, the Marriott Springhill Suites, the Residence Inn by Marriott and so forth.

We are negotiating for vendor Parking passes. Parking is a primary revenue source at NRG Park and it's not easy to get any discount. We tried to bundle parking into the table rates, but the logistics are even harder. Just like electricity and internet, the convention services at NRG Park prefer to operate for these items separately. It will probably cost $14 per day for an all-day, all-access parking permit. The $12 gate permit does not allow for coming and going more than once.  NRG Center will probably sell parking permits at Vendor check-in on Thursday and Friday. In our perfect world, parking for vendors would be free - but we're not there yet...
