Promotional Table Application Details

Application Timeline

Please complete the application in its entirety and understand that simply submitting this application does not guarantee you a space at VikingsCon. It is only after this full application is received, reviewed, and approved that a space will be issued. Incomplete applications will not be approved. All forms must be received by August 2, 2019 . You must submit your application by this date. You will hear back on the status of your application by September 2, 2019. 

PROMOTIONAL TABLE GUIDELINES

VikingsCon is happy to provide complimentary tables to help promote local, regional, and national non-profits, conventions, and fan groups. When applying, please highlight your positive influence in the Viking culture fan world or  in your community and/or schools; quality of involvement, not simply quantity of members; and originality/uniqueness of purpose.

YOU MUST APPLY FOR COMPLIMENTARY SPACE - Did you receive a complimentary table at VikingsCon last year? If so, understand you are not automatically approved to receive a table for VikingsCon 2019, and you must apply again. VikingsCon space is limited, and requests are judged on a year-to-year basis, and previously approved applicants are not automatically grandfathered in.

Answer every application question as completely as you can. There is limited space available, which will be divided out across non-profits, conventions, and fan groups. VikingsCon reserves the right to approve or deny any application.

Promotional Table

 PROMOTIONAL TABLE POLICY  

• The Red Serpents, LLC agrees to provide complimentary table space, to the Promotional group at VikingsCon, barring any unforeseen acts of God which may occur prior to or during these dates to prevent space being available. Complimentary space is made up of 80 sq. ft., or one (8’x10’) booth. Promotional table placement is not guaranteed, but Promoter will act in good faith when possible to accommodate requests and make a few changes as possible after diagram has been released. Promotional group agrees not to use any area outside of their designated complimentary space for sales, storage, display, or advertisement, and to be respectful of their neighboring Promotional groups. Promotional group agrees to keep space clean and presentable during the Event. Exhibits must remain whole until the event has ended. 
  
• Promotional group agrees that The Red Serpents, LLC, its staff, and its volunteers, shall not be responsible for items lost, stolen, damaged, or destroyed during the convention, during convention set up or during convention clean up.  
• Complimentary space assignments are the sole responsibility of The Red Serpents, LLC. Promotional group agrees to keep the assigned area clean and be responsible for any damage caused by the Promotional group. Promotional tables are to remain in the specified space and configuration as placed by The Red Serpents, LLC. 
• The rights granted to the Promotional group may not be sold, sublet, given, or otherwise transferred to any third party.  
• Promotional group acknowledges that The Red Serpents, LLC grants no terms of exclusivity or other licensing agreement to Promotional group.  
• Promotional group agrees to do business only during posted hours and not to engage in any disruptive activities, including, but not limited to: unloading and movement of merchandise outside areas designated to the Promotional group, excessive noise, or any activity deemed by The Red Serpents, LLC to be disruptive to other Promotional groups or not in the best interest of VikingsCon or any of its participants (i.e. excessive loud noise or music, etc.). 
• Promotional group agrees to display and/or sell merchandise, which is consistent with all International and US copyright and trademark agreements, as well as all laws of the City of LaPlata and the State of Maryland. 
• Promotional group agrees that any violation or breach of this agreement may result in the cancellation of this agreement and forfeiture of the Promotional group's complimentary space. 
• The foregoing represents the full agreement between The Red Serpents, LLC and the Promotional group.

Promotional Support

Artist agrees to provide:

• Minimum of 3 total posts across your social media platforms (Facebook, Twitter, Instagram, etc.)
• At least one dedicated email blast to your subscribers

The VikingsCon Great Hall will features booth after booth of unique, creative and handmade products from vendors and artists who are as passionate as our attendees about the Vikings culture. The Great Hall is an extension of VikingsCon itself — a gathering place that gives you a chance to get to know your fellow attendees and find special wares or art.
