THANK YOU for your interest in participating as a volunteer for the 2nd Annual Comic Con Palm Springs !

 

Last year’s event in Palm Springs reached fans around the world and totally exceeded the expectations of Comic Con Palm Springs (CCPS) staff as well as the leadership of the Palm Springs and Riverside County. 

This endeavor could not function without our volunteers, and it is thrilling that you have elected to dedicate your time in this special way.

We all need to be dedicated to HOSPITALITY and all that it means and reflects.  Hospitality is what drives us to excellence to provide our guests a positive, enjoyable and memorable experience while at Comic Con.

I am proud to serve as your Volunteer Coordinator and I will do all that I can to ensure that you are provided with the training and supportive tools necessary to complete your jobs successfully and to bring you personal satisfaction as well.

Volunteer Terms and Conditions and Disclaimer

VOLUNTEER TERMS & CONDITIONS AND DISCLAIMER

·         Volunteers have the right to expect fair and honest treatment from Comic Con Palm Springs executive staff,  staff and personnel, and fellow volunteers.

·         Volunteers are expected to  be flexible, and if they are asked to serve in an area that was not requested,  they are expected to do their  best in  working that location.  We are a unique team of individuals who need to always think of the ‘big picture’.

·         Communication at the Convention will occur either through:

-cell phone

-text message

-person to person

Cell phones/text messages from convention staff are important as these will be the primary means of conveying important messages to select volunteers. Cell phones are not to be used for personal calls while volunteers are on duty.

·          CONDUCT:     Think hospitality always!   Volunteers, guests and staff must be treated with respect, dignity and politeness.   All issues that cannot be adequately solved should be directed to your Captain for solutions.

·         For your own safety, guests/celebrities are not to be touched for any reason.

·         Volunteers must not make any promises to guests for any reason.  If a guest is unhappy and is requesting some type of compensation, please direct them to your Captain.

·         Harassment of any kind will not be tolerated.  If a volunteers  feel that they  have been harassed, your Captain is to be contacted immediately.

·         Volunteers can be asked to end their service for improper conduct, harassment, insubordination or illegal activity, or other behaviors which are dangerous or deemed inappropriate.

·         Comic Con Palm Springs will not be held responsible for damage or loss of personal property.  Valuables at should be left at home and/or secured in the trunk of your vehicle.

·         DRESS CODE:    All volunteers will wear the official Comic Con shirt that will be given to them.  Pants/jeans and shorts are acceptable.  The waist of pants or similar bottoms must fit at the waist, and shorts must be mid-thigh or longer.   The wearing of comfortable shoes is required,  Athletic shoes are acceptable if they are in good condition.

 ·         Volunteers are responsible for presenting a positive image to everyone with whom they connect.  No costumes, real or facsimile weapons may be carried while on a volunteer assignment.

·         The  practice of clean personal hygiene is required.

·         Volunteers will return their badges to the Volunteer Lounge at the of their shifts when they sign out.  Once your service is complete, you will be allowed access into the event on that day.  

·         Anyone known or reasonably suspected to be under the influence of intoxicating liquor, narcotics or illegal substances shall not be allowed to volunteer while in that condition.

·         Take good care of yourself:   please do not lift or attempt to lift or push excessive loads.  Observe the correct position for lifting (stand with feet slightly apart, assume a squatting position with knees bent and chin tucked in.  Tilt head forward, grasp the load with both hands and gradually push up with your legs, keeping your back straight.  Avoid any abrupt movement.  Do not try to lift an item which is too heavy or bulky to be handled by one person.  Ask for help.

·         Falling equipment:  there are many signs, drapes, booths, lights, and other equipment throughout the event site.  There is a very slight possibility that this equipment might fall over or off the walls or ceiling.  All of this equipment has been set up by professionals and is properly secured to prevent injury.  Please assist by not leaning/sitting on the ends of tables and hanging/pulling on drape poles or light stands.   Also, use caution when sitting in folding chairs as they can easily fold or tip over.

·         Electrical shock/burns:  Be careful when plugging/unplugging in equipment like computers, cash registers, printers, etc.  Do not stick fingers inside the working parts of a cash register, computer or printer.  As supervisors for help with changing tape rolls, ribbon, etc.  Parts of these machines can get very hot and could cause burns.

 ·         First Aid:  If you are injured in any way, or if you witness someone who is injured, notify your Captain.  If the Captain is not available, contact Convention Center Security.  A First Aid station/EMT is available on site at all times.

  ·         Social Media:  Volunteers are not authorized to speak on behalf of the event.  Volunteers are permitted and encouraged to advertise the events on social media, but are not permitted to answer binding questions about the event.

·         Medical Conditions:  If volunteers  have any medical conditions that could hinder their service as a volunteer, please inform the  Captain overseeing the area.  All information is confidential.

 ·         COMIC CON PALMS SPRINGS IS DEDICATED TO PROVIDING A HARASSMENT-FREE CONVENTION FOR EVERYONE, REGARDLESS OF GENDER, SEXUAL ORIENTATION, DISABILITY, PHYSICAL APPEARANCE, BODY SIZE, RACE, RELIGION, CULTURE OR AFFILIATION.

 ·         COSPLAY IS NOT CONSENT:

Please keep your hands to yourself.  If you would like to take a picture with or of another Comic Con Palm Springs fan, always ask first and respect that person’s right to say no.  When at Comic Con Palm Springs, be respectful, be nice, be cool and be kind to each other.

 ·         


 ·         Harassment Policy:

-The following constitute grounds for immediate expulsion from the convention without refund:

        a. violating any federal, state, or local laws, facility rules or convention policies.

        b. failure to comply with the instructions of Comic Con Palms Springs staff or security  personnel.

        c. using anything in a threatening or destructive manner against person or property.

        d. endangering the safety of oneself or others.

        e. threatening, stealing, cheating or harassing others.

 

If a volunteer experiences or witnesses any of the above it should be reported to a Captain, Volunteer Coordinator or Security Personnel.

    

       Harassment includes offensive verbal comments (related to gender, gender identity and expression, sexual orientation, disability, physical appearance, body size, race, religion, culture, affiliation), sexual images in public spaces, deliberate intimidation, stalking, following, harassing photography or recording, sustained disruption of talks or other events, inappropriate physical contact and unwelcomed sexual attention.

Persons asked to stop any harassing behavior are expected to comply immediately.

      Exhibitors, sponsors, vendor booths, or similar activities are also subject to the anti-harassment policy.

       The policy also extends to any sanctioned convention event that occurs outside of normal convention hours or venues.

 

·          Volunteers must be 16years of age or older, unless part of a  Comic Con Palm Springs approved group

 ·         Convention Chain of Command for volunteers:

-Founder/Executive Producer

-Head of Operations

-Assistant Head of Operations

-Volunteer Coordinator

-Captains overseeing each area

-Volunteer

·           Appropriate breaks and meals will be provided for all volunteers.  Breaks and meal breaks will be assigned by each Captain.

·         Due to the complexity of some positions, certain shifts will be longer than others. For example, those working in the registration area will have a longer shift, and celebrity assistants may only be needed for the length of the celebrity’s appearance time.  Flexibility in scheduling is important for all volunteers.

·         Volunteers are required to attend a general orientation meeting.  Depending on the volunteer area, a volunteers may be asked to attend additional  training meetings.

·         Volunteers may not engage in unprofessional, unethical or disrespectful conduct, including:

                             -          Using or being under the influence of alcohol or illegal drugs

-          Physical or verbal abuse of attendees, exhibitors, vendors, professionals, other volunteers, staff members, and their family members/friends, or anyone else at the official site(s).

-          Using profanity in communicating with or within earshot of anyone at the convention

-          Unauthorized use of company equipment including telephones, computers, or other office equipment

-          Theft of any property, or personal items, food, supplies, money, etc., belonging to Comic Con Palm Springs, the venue, or anyone at the convention.  This includes making any charges to accounts of Comic Con Palm Springs without prior express written permission.

-          Using a volunteer position to gain any personal or financial favors from attendees, exhibitors, celebrities, vendors, professionals, other volunteers, staff members, and their family members/friends or anyone else is strictly prohibited.  There is no partying with the guest stars outside of  convention sanctioned events!!! (such activity becomes a conflict of interest and can make for complications; violation of this policy will result in suspension of your credentials)

·          Celebrities are not to be photographed at any time. If photos of celebrities are wanted, the volunteer must pay for and schedule an approved photo-op.

·          Once a  volunteer has reported for duty, volunteers must remain in place until they are relieved by a replacement (whether for a break, meal, or special need).  Each Captain will coordinate this.

·          When a volunteer is released for a break or meal,  volunteers must return to their position on time.  Tardiness will prevent the replacement to take his/her break or meal on time.

·          Volunteers must not photograph, copy or post images of any type of credential (e.g., badges, wristbands, giveaway tickets, comp codes, etc.)  issued by Comic Con Palm Springs by email, texting, or on a blog, web page or social media site.

·          Water will be available in the Volunteer Lounge at all times.

·         Volunteers need to keep all areas in the facility clean and neat.  Projecting a positive image at all times is paramount.

·          Comic Con Palm Springs does not provide any lodging for its volunteers.  Meals will be provided at appropriate times of the day in the Volunteer Lounge.

About Comic Con Palm Springs - 2018

Presented by Agua Caliente Spa Resort Casino - CCPS PSIAF has brought together some of the most passionate and talented people from the world of comic books and entertainment to produce an exciting new Comics in one of the most famous and fun cities in the world. We've spent years working, observing, and listening to what people want and sought from their Comics Experiences. Not only working with talent and exhibitors, but also being passionate fans ourselves, we wanted to apply all the great ideas and suggestions everyone had - your and ours together. Each year we plan to make Palm Springs something special.

You’re here to have fun. We’re here to make it possible for you to have that fun. For all that to happen, CCPS/PSIAF has a few policies that are necessary for the safety and comfort of everyone. Please comply so that you and everyone else can enjoy the convention. These policies were updated on 2/27, 2018 and are specifically for CCPS PSIAF. Please check back for updates as we get closer to the event. Airspace (Balloons, Drones, etc.) No devices may be flown or tethered within the confines of the Exhibit Hall or at any Con function in the Venue or grounds. This includes drones, helium balloons and helium-filled products, or any lighter-than- air objects either powered or unpowered. Code of Conduct Attendees must respect commonsense rules for public behavior, personal interaction, common courtesy, and respect for private property. Harassing or offensive behavior will not be tolerated. Event reserves the right to revoke, without refund, the membership and badge of any attendee not in compliance with this policy. Persons finding themselves in a situation where they feel their safety is at risk or who become aware of an attendee not in compliance with this policy should immediately locate the nearest member of security, staff member or volunteer, so that the matter can be handled in an expeditious manner. If you have any questions or concerns please stop by the East or West Information Desks of the venue. During show hours you can always find a venue staff member who can assist you with any questions or concerns you may have. Bag Policy All back backs, handbags or bags of any kind must be inspected prior to entering the Con by security each day. Please know that CCPS PSIAF events are not responsible for any lost or stolen items. Costume Props Policy For the safety of all attendees no props that could be used as a weapon or simulated firearms of any kind are allowed at Con.

 All props must be inspected and tagged prior to entering the Con each day

 Costume swords must not be made of material that could be used as a weapon and must be tied to your costume in such a way that they cannot be drawn

 Costumes featuring stilts must be approved by security prior to entrance At certain times, due to crowds and safety issues, people in oversized costumes may be

asked to leave the Exhibit Hall.

Approval of props is at the sole discretion of CCPS PSIAF and the Palm Springs Police Department If you do not want to have your costume props inspected or tagged, or if you are not willing to comply with these policies, please do not bring your costume props to event. All costume props must be inspected prior to entering the Con.

No Handouts

No handing out of anything—including flyers, stickers, cards, or any promotional item—is allowed in any area inside or outside the Venue, except from within a booth in the Exhibit Hall unless pre-approved by CCPS PSIAF.No Hover Boards. By order of the Fire Marshal, hover boards are not allowed at Con, including all inside or outside areas of the Venue, and additional venues featuring Con events.

No Handcarts, Trolleys, Rolling Luggage, or Oversized Strollers in the Exhibit Hall Please be aware that, for safety reasons, no handcarts, trolleys, rolling luggage, or oversized strollers are allowed in the Exhibit Hall. Attendees found on the exhibit floor with these items will be asked to leave the Exhibit Hall. No Live Streaming of Any Program or Event in Any Programming Room at Con. The usage of live streaming apps and software on any electronic device (smartphones, tablets, laptops, etc.) is not allowed in any official Con program and event rooms, both onsite at the venue and in other Con venues. No Market Research at event as event does not allow market research, surveys, or information-gathering in any public area—indoors or outdoors—of the venue, or any other venue featuring Con events

No Paging

Please keep in mind that there will be no personal pages over the P.A. system. Set a time and place to meet with your family and friends and communicate with them via text or phone when necessary. Lost or Missing Children, should you lose a child or need to report a missing parent contact a staff, volunteer, security guard or venue staff immediately

No Pets Allowed

If you have pets, including iguanas, parrots, boa constrictors, or other nonhuman critters, please leave them at home. The venue will not allow animals into the building except for service animals. If your service animal is not wearing any kind of ID identifying them as a service animal, you may be stopped by security. To obtain your service animal ID, please check in at registration. Any service animals that cause a disturbance will be asked to leave Con.No Selfie Sticks or Similar Devices at Comic Con Selfie sticks, GoPro poles, stilts, or any device that extends your camera or phone away from your hand or body are not allowed at Con. If you’re seen with one of these devices, you will be asked by security to put it away and not use it at Con. This includes all of the Venue program and rooms. No Sitting in Exhibit Hall Aisles By order of the fire marshal, sitting in the Exhibit Hall aisles is not allowed. No Smoking, Including E-cigarettes and Vaping Products and Devices No smoking is allowed at any Con event at any time and in any location. No smoking at Con includes traditional cigarettes, pipes, cigars, or E-cigarettes and any vaping product or device. This policy includes the Exhibit Hall, all the Programming rooms, and event spaces at venues. You are welcome to step outside the venue. This policy is in place not only for the comfort of attendees but also to comply with Palm Springs city ordinances prohibiting smoking at public events near any doorway, entrance, exit, or operable window. Please comply with this policy; noncompliance may result in ejection from the convention. No Strollers Allowed in the Programming Rooms By order of the fire marshal, strollers are not allowed in any of the programming rooms. Event reserves the right to change or modify any policy or rule at any time and without notice.
