Call for Panels!

All fields are required.

Please review the following information before submitting a panel suggestion:

  • Note that all panels submitted are subject to review. Panel submission does not mean approval of the submitted content. Contact will be made as we get closer to the convention regarding panel approvals.
  • Please note that some panels may not be approved due to room availability.
  • Panels are for educational, entertainment, informative, and interactive purposes.
  • We ask that you submit your proposals as soon as you can, as the later the panel is submitted, the less likely it will be approved.
  • Keep in mind when planning your panel that you will have a limited time to present your information. You are not required to fulfill the full time allotment, but do not go over. Sessions are generally limited to 45-60 minutes. Exceptions may apply.
  • Panel rooms must be cleared out and reset in anticipation of the next panel. If approved, you are allowed to bring in your own signage and print collateral, but all must be removed once the session is over. You are not allowed to affix your signs with tape. You will be responsible for any damages made to room decor.
  • Only one panel can be submitted at a time. If you wish to do this panel multiple times over the weekend, please resubmit the form with the new information.
  • You will be responsible for bringing in your own panelists, moderators, and key speakers. We are not responsible for hotel, travel, and meals.
  • AV may not be available in every room. However, you are able to bring in your own equipment if you so desire. Cosmic-Con, Bay Area Virtual Reality Expo, San Jose Convention Center, and Hilton San Jose are not responsible for your equipment.


Keep in mind that this is a two day convention, and there is continued attendance Friday through Saturday, and into the evening and night. Your panel content may still produce attendance at later hours, so please consider your day and time options before submitting your panel.
